User Manual: Stocks & Inventory Tool
Version 2.0 | A guide to efficient inventory and production management.
1. Introduction
Welcome to the Stocks & Inventory Tool, a powerful, self-contained application designed to give you full control over your raw material inventory, work-in-process batches, and finished goods. This manual will guide you through all the features, from basic operations to advanced data management.
2. Operating Details: The Core Workflow
The tool is designed around a logical, step-by-step production workflow. Here’s how to use it:
Step 1: Managing the Raw Material Inventory
This is the central hub for all your raw materials. All actions happen in the "Raw Material Inventory" table.
- To Add a New Material: Click the
+ Add Rowbutton. A new, pre-filled row will appear. You will need to click the yellow "Edit" icon to change its details. - To Edit a Material: This functionality will be added in a future update. For now, data is added via CSV or the "Add Row" button.
- To Delete a Material: Click the red trash can icon in the row you wish to remove. A confirmation prompt will appear to prevent accidental deletion.
Step 2: Creating a New Production Batch
The "Create New Batch" section is where you initiate a new production run.
- Select the appropriate Foam Category from the dropdown list.
- Enter the desired Batch Size (Kgs).
- Assign a unique Batch No. for tracking.
- Click the
Check & Save Batchbutton.
Upon saving, the batch will automatically appear in the "Work In Process (WIP)" table below.
Step 3: Managing Work In Process (WIP)
This table shows all batches that are currently in the production stage.
- To Move a Batch to Finished Goods: When a batch is complete, click the
Move to FGbutton in its row. You will be prompted to enter a "Special Grading" or other specification. After you provide this, the batch is removed from WIP and added to the "Finished Goods" table.
Step 4: Managing Finished Goods (FG)
This table tracks all completed batches. You can update the status of each batch (e.g., from "Available" to "Allocated" or "Shipped") using the dropdown menu and action buttons in its row.
3. Advanced Features & Data Management
The tool includes powerful features to make managing a large inventory simple and efficient.
Advanced Inventory Controls
- Live Search Bar: Use the search bar above the inventory table to instantly filter the list. The table updates as you type, showing only rows that match your search term in the Chemical Name or Commercial ID fields.
- Click-to-Sort Headers: Click on the table headers for "Chemical Name," "Mfg/Expiry Date," or "Weight" to sort the entire inventory. Clicking a header again will reverse the sort order (e.g., from A-Z to Z-A).
- Pagination: If your inventory grows large, it will be automatically split into pages. Use the
« PrevandNext »buttons below the table to navigate between pages.
CSV Import and Export
This is a critical feature for bulk data management and integrating with spreadsheet software like Microsoft Excel.
- To Export Data: Click the
Export CSVbutton. This will download a CSV file of your entire current inventory, which you can open in Excel. This is the recommended way to create backups. - To Import Data: Click the
Import CSVbutton and select a CSV file from your computer. The data from the file will be added to your existing inventory.
Important: Your CSV file must have the following columns in this exact order:Chemical Name,Commercial IDs,Mfg/Expiry Date,Weight (kgs/lit),Status.

Data Safety and Logout
- Backup: Regularly use the
Export CSVfeature to create a safe backup of your inventory data on your local hard drive. - Logout: At the bottom of the page, the
Logoutlink will navigate you to the Polyverse Industrial Automation homepage.
